# An organisation chart that draws itself from who reports to whom

> Record departments, positions and locations, then set each person's manager. HRHive draws the chart from those links and keeps it current as people join, move and leave. You can print it, or print a hierarchy by position.

## What problem does this solve?

An organisation chart is usually a slide somebody drew two years ago. It is wrong the day after it is saved, nobody owns it, and it gets rebuilt by hand whenever an adviser, a sponsor or a new manager asks who reports to whom.

## What HRHive does

- Draws the chart from the manager recorded on each person's employment details. There is nothing separate to maintain.
- Keeps it current as people join, move and leave. It shows people who are current or about to start, and a leaver drops off it.
- Records departments, positions and locations. A department can sit inside another one. A position has a title, a department, the position it reports to, a location, hours and a salary band, and it exists independently of whoever holds it, so the structure stays clear when someone leaves.
- Fills in a manager for you when you add someone to a position that reports to another position: the person who holds that position.
- Lets you find someone, filter by department or location, and collapse or expand a team. In a large organisation, over 250 people, branches start collapsed so you can focus.
- Lets HR drag a person onto a new manager. HRHive asks you to confirm, the change takes effect from today and it is recorded in their employment history.
- Refuses impossible reporting lines. Nobody can be their own manager, and a circular reporting line is turned down.
- Prints the chart, downloads it as a PDF, or prints a hierarchy by position, which the product labels sponsor-friendly.

> The chart shows reporting lines as they are recorded today. It is not a planning tool: you cannot draw a proposed restructure and compare it. A change recorded with a future date appears on the chart when that date arrives.

## How it works

1. **Add the structure you have.** Departments, positions and locations are optional, but they make filtering easier, and policies can be aimed at a department or a location.
2. **Set each person's manager.** Do it when you add them, or later with Record a change on their Employment tab, from the date it takes effect.
3. **Open Organisation.** The Chart tab draws it. Search, filter, expand and collapse to find your way around.
4. **Move people by dragging.** Drop someone onto their new manager and confirm.
5. **Print or download it when someone asks.**

## What you see

The Organisation page has five tabs: Chart, Departments, Positions, Locations and Company details. The chart shows each person as a card with their name and job title, with a count of how many people report to them. Someone who has not started yet is marked "Starting soon".

## The record it creates

The chart is a view, not a document you have to keep up to date. The reporting lines behind it are part of each person's employment history, with dates, and moving someone on the chart records an employment change from today with the reason "Moved in organisation chart". The printed chart is an A4 document dated "As at" the day you print it, with a count of people, and it carries the quiet "Generated by HRHive" line. The version by position puts each job title first, with the person's name and department beneath it.

## Who can do what

Everyone with access can see the structure. Changing it is for the people who manage employment records.

| Owner, admin and HR | Add and edit departments, positions and locations, set managers and drag someone onto a new manager. Print the chart. |
| Manager, Payroll / Finance, Compliance and Auditor | View and print the chart. They cannot change reporting lines. |
| Employee | The employee portal does not include the chart. |
| Adviser invited into the organisation | Works with whichever role you give them. An HR consultant given the HR role can maintain the chart as HR can. |

## What happens next

Reporting lines do more than draw a picture. A manager can see, and approve holiday for, everyone who reports to them, directly or indirectly. Holiday requests go to the person's manager, and so do reminders such as probation reviews. When you change someone's manager, all of that follows. ## Frequently asked questions

### What happens to someone's team when their manager leaves?

The chart shows people who are current or about to start, so a leaver drops off it. People whose manager has left appear at the top of the chart until you give them a new manager, which you can do by dragging them onto one.

### Can I show the chart to an adviser or a sponsor?

Yes. Print it, download it as a PDF, or print a hierarchy by position, which the product labels as sponsor-friendly. You can print the whole organisation or just one department.

### Does it cope with a large organisation?

Yes. Past 250 people, branches start collapsed so you can open the part you need. Search for a name, or choose a department or a location to focus.
