# Short training that ends in a record

> HRHive gives people a short piece of training as a video or PDF, with an optional quiz and an acknowledgement, and keeps a completion record with a renewal date. It is not a full learning management system, and it does not need to be.

## What problem does this solve?

Training records are rarely in one place. A certificate sits in one folder, a sign-in sheet in another, and the date it runs out is in someone's diary. When a manager or a client asks who has done the induction, or whose certificate has lapsed, the answer is a search.

## What HRHive does

- Gives people a short piece of training, as a video or a PDF.
- Adds a short quiz if you want one, with a pass mark.
- Asks people to acknowledge that they have completed it.
- Keeps a completion record for each person.
- Sets a renewal date for the training, and reminds people before it falls due.

> **Not a full learning management system**
>
> It is lightweight training that ends in a record. It does not try to be a course platform.

## How it works

1. **Choose or add the training.** A video or a PDF, with an optional short quiz and a pass mark.
2. **Give it to people.** Everyone, a department, a location or one person, as with a policy.
3. **They take it.** They watch or read it, take the quiz if there is one, and acknowledge that they have completed it.
4. **HRHive records the completion** on their record, with the date and the result.
5. **The renewal date is set.** HRHive reminds people before it falls due, and shows what is overdue.

## What you see

A list of training with who has completed it, who is overdue and what renews soon. On each person, a record of what they have completed and when it renews. In the portal, the training a person has been given and their own completion records.

**Training** — Renewing in the next 90 days

- Manual handling, Priya Nair — Renews in 21 days (4 Nov 2026)
- Fire safety induction, James Patel — Renews in 54 days (7 Dec 2026)
- Data protection basics, Hannah Doyle — Completed (Passed 5 of 5)

Each completion keeps its renewal date, and HRHive reminds people before it falls due.

## The record it creates

A completion record on each person's record: which training, when they completed it, the quiz result if there was one, their acknowledgement and the renewal date. It appears on their timeline and can be listed alongside their other documents.

## Who can do what

| Role | What they can do |
| --- | --- |
| Owner, admin and HR | Create training, give it to people, and see who has completed it, who is overdue and when each completion renews. |
| Manager | See completion and renewal dates for the people who report to them. |
| Employee | Take the training they are given in the portal, and see their own completion records. |
| Compliance and auditor | Read completion records and renewal dates. |

## What happens next

HRHive reminds the right people before each renewal date. Our guide to training records explains how to decide what training each role needs and how to keep the record tidy.
