# Managing HR for clients? Here is what to do, in order.

> One practice, many organisations. Get each client to invite you, work in one client at a time, bring in what they already have and keep their deadlines in view. Here is the order, with a link for each step.

## What you will have at the end

- [ ] An invitation into the client's organisation, with the role you agreed
- [ ] The client's people and documents in one place, kept apart from every other client
- [ ] Starters, contracts and policies going through HRHive
- [ ] Right to work follow-ups in view, with the client's authorised person completing the checks
- [ ] Evidence you can print when someone asks

> **Across all your clients**
>
> A portfolio view across clients, shared templates and your own branding save you doing the same thing for each client separately.

1. **Ask each client to invite you**: The client's owner or an administrator invites you by email and chooses your role, such as HR, compliance or a read-only auditor. You sign in with a one-time link, an emailed code or a passkey, and one login covers every client.
2. **See every client, then open the one that needs you**: The portfolio view shows what needs attention across all your clients. Open a client with the organisation switcher, and Home shows what is missing, what is due and who needs to act in it.
3. **Bring in what they already have**: Import the client's existing HR folders as a ZIP, or import a CSV. HRHive matches files to people, you review everything before it is saved, and an import can be rolled back. Or add people one at a time.
4. **Set up starters, contracts and policies**: Send each new starter one emailed link for their details and documents. Build contracts and written statements from plain questions and send them for signing. Send policies and ask for acknowledgements.
5. **Chase right to work, without completing it**: See where each right to work check stands, ask for documents and chase what is outstanding. Someone the client has authorised completes the check, and HRHive records who, when and how.
6. **Keep each client's deadlines in view**: Expiries and follow-ups are reminded 90, 60, 30, 14 and 7 days before and on the day, and right to work follow-ups at 90, 60 and 30 days. Check each client's compliance overview as part of your routine.
7. **Show your work**: When a client asks, print the personnel file, a right to work check record, the Workforce Register or the Compliance Summary.

## Frequently asked questions

### Can I see all my clients on one screen?

Yes. The portfolio view shows the actions, expiries and urgent items from every client together. Open any client from it to deal with what needs attention.

### What do my clients pay?

The adviser account is free. Each client organisation is priced on its own active workforce, and inviting you in does not change its plan.
