What you can do now
Each client has its own organisation in HRHive. You have one login, and each client invites you into their organisation with the role you agree. Everything in this section works today.
- Your client invites you. Their owner or an administrator sends the invitation by email and chooses your role, such as HR, compliance or a read-only auditor.
- You sign in. With a one-time link, an emailed code or a passkey. There are no passwords.
- You switch between clients. The organisation switcher at the top of the menu shows the client you are in and lists the others you belong to, with your role in each.
- You work in one client at a time. Home shows what needs attention in that client: what is missing, what is due and who needs to act. Nothing from another client appears there.
What you see depends on the role your client gives you. The roles are owner, admin, HR, manager, payroll, compliance, employee and a read-only auditor, and sensitive details such as bank, salary, National Insurance and medical information are shown only to the roles that need them. Each client's data is kept apart from every other organisation's. Important activity is recorded in an audit log that shows who acted and what changed, and that includes your work.
What you can do in each client
These are the jobs you can do in each client's organisation today.
- Starters. Send a new starter one emailed link. They give their details, emergency contact, bank details and documents, sign their contract and acknowledge policies, and you see how far they have got.
- Contract records and written statements. Build a written statement of employment particulars from plain questions that cover every required heading. The date it was given is recorded separately from the signature, and signing leaves a sealed copy with an audit certificate for every signer. The templates are labelled for legal review, so you check the wording before you use them.
- Employee details. Each person has one record, whether they are an employee, a worker, an individual subcontractor or an agency worker: details, address history, emergency contacts, employment history and a timeline. If a client already has HR folders, you can import them as a ZIP, or import a CSV. HRHive matches files to people, you review everything before it is saved, and an import can be rolled back.
- Holiday and sickness. Holiday requests, approvals, balances, carry-forward and bank holidays are recorded for each person. Sickness absence is recorded as leave, with a restricted sick note document and a return to work form. HRHive does not calculate sick pay.
- Workforce documents. Upload documents against a person or the organisation. There are 37 built-in types, with versions, expiry and review dates and a review queue. Reminders go out 90, 60, 30, 14 and 7 days before something expires, and on the day.
- Policies. Send a versioned policy to everyone, a department, a location or one person. Each person acknowledges receipt online or on paper, and you can print the register.
- Leavers. Setting a leaving date creates an offboarding checklist and tells payroll, HR and the manager. The record is archived with its retention date.
- Subcontractors. Record each supplier by arrangement and tier. HRHive requires a signed right to work written statement before work starts, and tracks assurances, audits, insurance expiry and a chain register.
- Compliance actions. The compliance overview ranks what needs attention across right to work, supply chain, contracts, data protection and status, and shows what is up to date. Each item says what to do next, such as start a follow-up, request a document or send a reminder.
- Evidence. When someone asks, print the personnel file, a right to work check record, a Subcontractor Pack, a Workforce Register or a Compliance Summary.

Right to work: what an adviser can and cannot do
Right to work is the one area where we ask advisers to stay a step back. The responsibility sits with the employer, so HRHive is built around that.
You can still help a check happen on time. HRHive reminds the client 90, 60 and 30 days before a follow-up is due, and on the day, and you can see the dates. Right to work checks by third parties explains the rule in plain English.
Planned: what is in development
- A portfolio view across your clients. Actions, expiries and urgent items from every client together on one screen. Today you switch into each client to see them.
- Shared templates and playbooks. Set something up once and use it across clients. Today you set up each client separately.
- Your own branding. Your name on the documents your clients see, and for larger practices a substantially branded experience. These are the Adviser Pro and white label plans.
- Referral and wholesale arrangements. Ways to work with HRHive commercially if you bring clients to it. See the partner programme.

Who this is for
HRHive suits HR consultants and practices who look after small and medium-sized businesses, many of them without an HR department, and who want each client's people, documents and deadlines in order and ready to show.
It is a good fit if your clients are happy to invite you into their own organisation, and you are comfortable working in one client at a time for now.
It is not the right fit yet if you need to see every client on one screen today, or if you need your own branding on everything your clients see. It is not the right fit at all if you need payroll, timesheets, rotas or recruitment software. HRHive does none of those.
What it costs
The adviser account is free. Each client organisation is priced on its own active workforce, not on how many advisers work in it. Adviser pricing has the detail.
