Right to work, recorded properly and followed up on time

What problem does this solve?
Right to work evidence tends to live in three places: a photocopy in a folder, an email with a share code, and one person's memory of when it needs doing again. When somebody asks, you cannot easily show who made the check, when, how, and what they saw. And the follow-up dates for people with time-limited permission are exactly the ones that get missed.
What HRHive does
- Records how each person works with you (employee, worker, individual subcontractor, agency worker and so on), so the right people are on the list.
- Guides the check for each of the four methods you can use: a share code, original documents, a digital identity provider, or the Employer Checking Service.
- Asks you to confirm each step as you take it, and stores a copy of the evidence.
- Writes a dated declaration with the checker's name, then locks the record so it shows what was known on the day.
- Works out the follow-up date, reminds you at 90, 60 and 30 days and on the day, and puts anything overdue at the top of your Home screen.
- Lets you assign a check to someone you have authorised, with a record of that authority.
How it works
- Say how the person works for you. An employee, a worker or an individual subcontractor. This decides whether a check is needed and what kind of follow-up applies.
- Choose the method. HRHive offers the methods that fit and never pre-selects one. Documents can always be checked in person.
- Follow the steps. Obtain the documents or share code, make the check, take a copy, and confirm each step as you go. Photographs and dates of birth are compared; name differences are explained.
- HRHive records it. The dated declaration is written with a system timestamp and the checker's identity, and the record is locked. Only the last three characters of a share code are kept.
- The follow-up is scheduled. For time-limited permission HRHive sets the date and reminds the right person before it arrives.
What you see
Each person's right to work status is in plain words, with the date it was checked, by whom, and what happens next.
The record it creates
A one-page record of the check that you can print, hand to an adviser or include in a pack for someone who asks. It shows the date the check was made, the method, the checker, the outcome and the follow-up date. The record is locked once it is complete and carries a file fingerprint, so a correction is a new check rather than an edit.
Who can do what
HRHive separates coordinating a check from carrying it out. Anyone with the right role can help it along; only someone you have authorised can complete it.
What happens next
The follow-up date goes into your reminders, and the person's status feeds the compliance overview so you see right to work alongside everything else that needs attention. When someone asks to see your records, the check record and its evidence are ready to include in an evidence pack.
