HRHive keeps each person's workplace pension record, the rates agreed with their history and your scheme, works out the letter, opt-out, postponement, declaration and re-enrolment dates, and shows what is missing or different. It does not run payroll or pay contributions.

What problem does this solve?

Pension details end up in three places: an email from the provider, a payroll spreadsheet and a line in a contract. Nobody can say, for one person, whether they were assessed, which group they are in, when the letter went, whether the rates are the ones agreed or when the opt-out window closes. HR agrees the terms with people, and HR is the one asked whether they are right.

What HRHive does

  • Keeps one pension record for each person: the group they are in, whether they are in the scheme, the scheme and member number, the date they were enrolled, the date the letter was sent and any opt-out or postponement.
  • Keeps the rates agreed, with the date each applies from and why. When they change, the earlier rates stay in the history.
  • Keeps your scheme: the provider, your employer reference, the default rates and the day the provider confirmed that the scheme meets the automatic enrolment rules. It also keeps your dates: when your duties started, your declaration of compliance and your re-enrolment.
  • Suggests a group from the date of birth and pay on record, marked as indicative. You decide.
  • Works out the dates and checks the record: the letter to staff, the opt-out window, the refund, the end of a postponement, the declaration of compliance and re-enrolment. It flags rates below the legal minimum and details the scheme needs but the record lacks, such as a National Insurance number or an address.
  • Tells the right people. What is due appears in the Compliance overview and on Home, each reminder is sent once, and payroll is told when someone opts out.
  • Shows an employee their own record in the portal, read only.
  • Files letters, notices and scheme documents as documents, with a review date for the scheme's.
  • Produces the Pension register, a report you can print or export, and includes the pension record in a subject access export.

How it works

  1. Add your scheme. The provider, your employer reference and the default rates. People use the scheme's rates unless you record rates for them.
  2. Record your dates. When your duties started, and the date of your declaration of compliance if you have made it. HRHive works out when the next ones are due.
  3. Assess each person. HRHive suggests a group from what is on record. You record the group, and whether they were enrolled, postponed, opted in, joined or opted out.
  4. Record what happens next. The letter, an opt-out notice and the refund, a postponement, and the rates agreed.
  5. Open Compliance, then Pensions. The register shows everyone, and the checks show what needs doing.

What you see

A Pension tab on each person shows what needs doing, their record, the rates agreed with their history and the suggested group. Under Compliance, Pensions shows how many people are in the scheme, what needs doing, your scheme, your dates and the register. What is missing or due also appears in the compliance overview and on Home, and an employee sees their own record under My pension.

The record it creates

A pension record for each person, with the rates agreed and the dates, kept on their record. Every change goes on their timeline, with who made it and when. Your scheme and your dates are kept for the organisation. The reports include a Pension register, and HRHive records who exports it.

Frequently asked questions

Does HRHive run my workplace pension or work out contributions?
No. HRHive is not payroll. It does not calculate, deduct or pay contributions, send data to your provider, choose a scheme or make the declaration of compliance for you. It keeps the record of what was agreed and what happened, works out the dates, and shows what is missing, so that your payroll software or provider can act on a record that is complete and correct.
Does HRHive decide who I must enrol?
It suggests, and you decide. From the date of birth and pay on record it suggests which group someone is in, and it marks the suggestion as indicative. The rules look at pay in each pay period, including bonuses and overtime, which your payroll holds. Anyone aged 66 or over is sent to check their State Pension age, which depends on their date of birth.
Where do the earnings thresholds come from?
They are held as a table with the tax year each set applies from. They change every April. When the table does not cover the current tax year, HRHive says so on the screen and uses the latest figures it has, so it never fails silently.
Does HRHive write the letters to staff?
No. You record the date a letter was sent, and HRHive shows when it is due. The letter itself, an opt-out notice or a joining notice can be filed on the person as a document, which keeps the original.
Who can see a person's pension details?
Owners, admins, HR and payroll can change them, and compliance and auditor roles can read them. Managers cannot see them. An employee can read their own record in the portal, which shows facts only.
