Preparing for a review? Here is what to do, in order.

Someone is going to ask to see your records: a client, an adviser, a funder or an inspector. Start with what needs attention, fix the gaps, then print the evidence. Here is the order, with a link for each step.

From first look to a pack you can hand over

  1. Start with what needs attention

    Open the compliance overview. It ranks what needs attention across right to work, supply chain, contracts, data protection and status, and shows what is up to date. Work through the highest items first.

  2. Check your right to work records

    Everyone who needs a check should have a completed one on record, and anyone with time-limited permission should have a follow-up date. Look for anyone marked Check needed or Follow-up due, and for follow-ups that are coming up.

  3. Check suppliers and subcontractors

    Look for suppliers with a missing right to work written statement or assurance, and for insurance that is about to expire.

  4. Check contracts and written statements

    Find contracts awaiting signature and written statements that have not been given. HRHive records the date a statement was given separately from the signature, so you can tell the two apart.

  5. Check policies and acknowledgements

    Find the policies people have not acknowledged. Home shows how many employees have not acknowledged a policy, and you can print the register.

  6. Check your data protection records

    Look at your retention schedule, your privacy notices and any open data requests or complaints. Data requests run on a one-month clock, and complaints have a 30-day acknowledgement.

  7. Print the evidence you need

    Print the personnel file, right to work check records, the Subcontractor Pack, the Workforce Register or the Compliance Summary, or download a ZIP pack for an employee or a Home Office request.

Frequently asked questions

Does HRHive tell me I am compliant?
No. HRHive shows what is complete, what is missing and what is due, from the records you hold. It does not certify that you meet any rule, and it is not legal advice.
Can my adviser look through my records without changing them?
Yes. You can invite an adviser with the read-only auditor role, which lets them look but not change anything. Sensitive details such as bank, salary and National Insurance numbers are shown only to the roles that need them.
