What is complete, what is missing and what needs doing next
HRHive compares what each person and supplier should have on record with what is there, and ranks the gaps across five areas. It works from rules and your records, not guesses, and what is up to date stays out of your way.
What problem does this solve?
Most small businesses know roughly what they should hold. What they cannot see is the gap between that and what is on file: the check that was never made, the contract still waiting for a signature, the insurance certificate that runs out next week. Finding those gaps by hand means opening every folder, and nobody does it until someone asks.
What HRHive does
- Works out what should exist. What a person or supplier needs depends on how they work with you: an employee, a worker, an individual subcontractor, a supplier in your chain. HRHive applies the rules for that arrangement.
- Compares it with what exists. It looks at the records you hold: checks, signed documents, expiry dates, assessments and notices.
- Shows the difference. What is missing, what is due and what is overdue, across five areas: right to work, supply chain, contracts and statements, data protection, and engagement and status.
- Ranks it. The most serious comes first: people who started work without a check or whose permission has run out, then what is due soon, then notes.
- Says what to do next. Each item says who or what it is about, what is wrong and what to do, such as "Start follow-up", "Request document" or "Send reminder", and links to the record.
- Keeps the rest quiet. What is complete is not turned into a list to read. Home shows it as "Everything else", or says "Everything is fine." when nothing needs attention.
How it works
- Record how people and suppliers work with you. That decides what each one needs.
- Keep the records in HRHive. Right to work checks, signed documents, expiry dates, status assessments, supplier evidence and privacy notices.
- Open Compliance. The overview is worked out when you open it, so it is always current.
- Start at the top. Open the first item and put the record right. When it is right, the item goes.
- Let reminders do the chasing. Each night HRHive sends reminders for what needs action, to the people who look after that area.
What you see
Compliance opens on the overview. It shows three counts, Needs action now, Due soon and Areas all clear, then each area with its items, the most serious first. The same items also appear on Home, under Needs attention.
The record it creates
The overview is worked out whenever you open it. When you want a dated copy, produce the Organisation Compliance Summary: where you stand in every area today, with anything that needs action, as a formal A4 document. It is a snapshot of today. HRHive does not rebuild an earlier day's overview, so keep a copy when it matters.
Who can do what
Each person sees the areas their role allows, and nothing else.
What happens next
Work down the list from the top. Items disappear as the records are put right, and an area counts as all clear when nothing in it needs action now or is due soon. For lists you can print or export, see reporting. To turn the same records into formal documents, see evidence packs.
